Please note: We strongly advise you to take out suitable travel insurance for the type of holiday you are booking with us, to cover your holiday cost should you need to cancel for reasons outside of our control, e.g illness that prevents you from travelling, extreme weather conditions, etc or for last minute cancellations.
1. The Contract
1.1 Your contract is with us, The Enchanted Oak.
1.2 “The Client” is the person who has made arrangements with The Enchanted Oak as the principle contact or party leader, and is named on the Booking and Confirmation.
2. The Booking Process
2.1 We may agree to you making a provisional booking with us, but this is not legally binding until payment is received.
2.2 The Enchanted Oak reserves the right to refuse or cancel a confirmed booking if it is deemed that the accommodation might not be suitable for the intended stay. In this event, a refund will be made unless key details (that result in the cancellation) were not provided at booking.
2.4 As soon as your confirmation is received please check the details carefully, if anything is incorrect please inform us immediately.
3. Security Deposits
3.1 A security deposit is not required for our bell tents or camping facilities, and we therefore ask guests to advise us of damages and breakages, and pay for these, prior to their departure.
4. Cancellations
4.1 For bookings, The Enchanted Oak will endeavour to resell your holiday in the event that you need to cancel your booking with us. In the event that we are successful in reselling your holiday dates, you will be refunded monies paid less £50 administration and marketing fee. If we are unable to sell any part of the cancelled period then all monies paid will be forfeited.
4.2 We are not able to cover you (or members of your party) for being unable to travel because you (or a member of your party) fall ill with Covid (or any other illness) or are required to quarantine or self-isolate. For this reason, we strongly recommend that you also take out your own travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates and gives you the peace of mind that you will get your money back if you need to cancel your holiday.
4.3 It is extremely unlikely that The Enchanted Oak will cancel a confirmed booking, however, in this event (e.g. adverse weather conditions on site) we reserve the right to cancel a booking and the Client will be informed as soon as possible. We will offer to swap your dates to an alternative available date, or offer you a full refund if no suitable alternative date can be found. Should this happen during your stay, we would refund any remaining nights.
4.4 Bad weather, illness, force majeure. If you or any member of your party cannot get to us due to bad weather, illness or any other reason outwith our control, and therefore results in you cancelling your booking with us or arriving later than planned, we cannot change or refund your booking. It is the responsibility of the Client to ensure that they have suitable travel insurance to cover these eventualities. We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, personal injury, loss etc.
5. Use of property and your responsibilities
5.1 There are limits on the maximum number of guests that can be at each bell tent and the number of guests must not exceed this limit, unless otherwise agreed with the owner. The maximum number of persons is 4 people per tent.
5.2 Only guests stated on the booked form may stay the night.
5.3 The Enchanted Oak does not accept stag or hen parties, and we reserve the right to refuse admission to the property or to ask the Client (and their guests) to vacate the property with immediate effect if the Client fails to adhere to this condition.
5.4 We do not accept dogs on our site, due to the livestock in the surrounding fields. If a Client turns up with a dog, they will be asked to leave, and no refund offered.
5.5 The site is in a rural area, and we ask that all rubbish is put in the bins, as indicated on your arrival. We have separate food waste bins (in the kitchen areas), a box for recycling (aluminium, glass, cardboard and plastic) and a larger bin for all other waste. Bins for the disposal of sanitary waste are provided in the toilets.
5.6 The Client is legally obliged to take all reasonable and proper care of the property and around the property.
5.7 For the safety of all guests and the preservation of our accommodation units, naked flames, including candles and open fires, are strictly prohibited inside the hired accommodation units. We provide alternative lighting options and heating facilities to ensure your comfort during your stay.
5.8 No motorhomes, campervans, caravans or large tents are accepted at The Enchanted Oak under any circumstances. Electric cars are not to be hooked up to any electricity supply on site.
5.9 Use of the barbeques and fire pits are at the user’s risk. Please keep the fire pits in their allocated locations as they pose a significant fire risk to the tents and other facilities. Any damage caused by incorrect use of these items will be charged, prior to your departure from the property.
5.10 To maintain the tranquillity and safety of our site, no cars or motorbikes are permitted by the pitch or accommodation units. All vehicles must be parked in the designated parking area provided by The Enchanted Oak. Guests are responsible for ensuring their vehicles are securely parked and do not cause obstructions.
5.11 In the unlikely event that you have any complaint about your stay, please notify us as soon as possible, and we will use all reasonable endeavours to resolve the issue. We will not be able to consider any complaint if it was not brought to our attention during your stay, as we will always try our absolute best to rectify a problem if one arises.
6. Arriving, during and departing
6.1 The Enchanted Oak is a small site so there is not a reception or full-time receptionist on the site. However, we do live on site, and our aim is to meet you on arrival. Please tell us your estimated arrival time so that we can be there to meet you when you arrive. Check-in is from 3 pm, and we ask that guests arrive and check-in before 9 pm. If we can accommodate an earlier check-in (typically 12 noon), we will do so – please email, call, or message to ask.
6.2 During your stay you will have our contact details, so please get in touch if you need to. We are happy to provide useful ideas of things to do, places to go/eat etc.
6.3 We will do a late check of the site every evening, as well as daily checks of facilities.
6.4 Check-out is at 10.30 am on the day of departure.
6.5 We respectfully remind you that any items brought onto the site, the car park or grounds, including valuables and audiovisual equipment, are brought in at your own risk. We shall not be held responsible for the damage or loss of any property owned by the guests.
7. Conduct on site
7.1 The Enchanted Oak is based on a smallholding, which carries the usual dangers such as livestock, machinery etc. You may cross a field with livestock in, please stick to the path, particularly to access the glamping field itself. Some of our livestock may approach you, please do not feed them as some food is toxic for them.
7.2 Should you want to meet some of the animals, please let us know and this can be arranged with one of us.
7.3 By booking and coming to The Enchanted Oak you agree to be responsible for any other guests that you book for (including their children), in addition to any children in your charge or under the charge of other guests you have booked for. Guests under the age of 18 must be accompanied by their parents or legal guardians, and we reserve the right to request proof of age or legal guardianship if necessary.
7.4 Please respect fellow glampers and campers, and adhere to our ‘quiet time’ between 11 pm and 7 am.
7.5 If there is a breach of any of these conditions by the guest or any of their party, The Enchanted Oak reserves the right to terminate your stay without a refund and ask you and the rest of your party to leave.
